Refund & Cancellation Policy

Eligible for Refund

  • Cancellation within 7 days of first subscription payment (new customers only)
  • Service outage exceeding 72 continuous hours caused by our infrastructure
  • Duplicate payment charged due to a technical error on our end
  • Billing error — wrong amount charged or billing cycle mismatch

Not Eligible for Refund

  • Cancellation after the 7-day trial window has passed
  • Partial month usage after downgrade or cancellation
  • Unused features or modules within an active subscription
  • Account suspended for violation of Terms & Conditions
  • Requests made more than 30 days after the disputed transaction
  • Annual subscriptions cancelled mid-term (except within 7-day window)

1. Overview

At Akaai ERP, we want you to be completely satisfied with our platform. This policy outlines when and how refunds are processed for our subscription-based service. All payments made to Akaai ERP are subject to this policy. By subscribing to any plan, you acknowledge that you have read and agreed to these terms.

2. Subscription Cancellation

How to cancel: Visit Settings → Subscription in your dashboard. Cancellation takes effect at the end of your current billing cycle.

Effect of cancellation:

  • You retain access until the end of your current paid billing period
  • No further charges are made after cancellation
  • Your data is retained for 30 days after the subscription end date
  • After 30 days, all data is permanently and irrecoverably deleted
  • We recommend exporting your data (via CSV export) before cancellation

3. 7-Day Refund Window (New Customers)

New customers who subscribe to any paid plan are eligible for a full refund within 7 calendar days of their first payment, provided:

  • This is your first subscription purchase (not applicable to renewals or upgrades)
  • The refund request is submitted within 7 days of the initial payment date
  • You have not violated our Terms & Conditions

This 7-day refund window is a one-time benefit per institute account. Subsequent renewals, upgrades, or new plan purchases are not eligible.

4. Refunds for Service Failures

You may be eligible for a pro-rated refund or account credit if:

  • The platform experiences a verified outage exceeding 72 consecutive hours due to our infrastructure failure
  • A duplicate payment is charged due to a billing system error
  • You are charged an incorrect amount due to a pricing error on our end

We may offer either a full refund, partial refund, or equivalent account credit based on the nature of the issue.

5. Non-Refundable Situations

  • Cancellations after the 7-day trial window
  • Unused subscription time remaining after downgrade or cancellation
  • Dissatisfaction with features accurately described in our plan documentation
  • Accounts suspended for violation of Terms & Conditions
  • Payments made more than 30 days before the refund request
  • GST or other government taxes collected on transactions
  • Razorpay or payment gateway processing fees (non-recoverable)

6. Plan Upgrades & Downgrades

Upgrades: You are charged the prorated difference for the remainder of the billing cycle. No refund is issued for the lower-tier amount already paid.

Downgrades: Take effect at the start of the next billing cycle. No refund or credit is issued for the price difference in the current cycle.

7. Annual Subscriptions

Annual subscriptions receive a discounted rate in exchange for a 12-month commitment. The same 7-day cancellation window applies for new customers. After 7 days, annual subscriptions are non-refundable. You retain access until the end of the 12-month term upon cancellation.

8. How to Request a Refund

  • Email us at billing@akaai.in — Subject: "Refund Request — [Your Institute Name]"
  • Include your registered email address and the transaction ID
  • Briefly describe the reason for your refund request
  • Our team will acknowledge within 24 business hours

Eligible refunds are processed within 5–7 business days of approval, returned to the original payment method. Allow an additional 3–5 business days for your bank to reflect the credit.
